Annual Renewal / Completion of Study
Annual Renewal of Clinical or Behavioural research projects must be submitted to the board of record for that project.
Annual Renewal In compliance with regulatory requirements and the UBC Office of Research Services, all ongoing projects must have a current valid ethics approval (they may not remain in an "expired" state). Piror to athe expiration date of the study, either an annual renewal or a Completion of Study Notification must be submitted to the BCCA REB using RISe. If either of these is not done, the REB may suspend or terminate the project and notify the investigator's Department Head. See Guidance for Annual Renewals (May 28, 2009)

Completion of Study When a study is "complete" a Completion of Study Notification must be submitted to the REB in RISe. The guidance notes below include information on determining when a study may be considered complete, investigator's responsibilities, and submission requirements for notifying the REB when a study is complete. This also indicates when a study no longers requires annual renewal and reporting of SAE's, and when a study can be considered complete (at which time a completion of study notice must be submitted to the REB in RISe).

RISe generates automated email reminders for annual renewal:
• 60 days before it expires • 45 days before it expires • 14 days before it expires • on the day it expires
Although reminders for Annual Renewals will be issued by RISe, as with any system something could be missed, particularly if an email address is incorrect, it remains the Principal Investigator's responsibility to ensure that renewals are submitted prior to expiry.
RISe generated email notices are sent only to the Principal Investigator and their Primary Contact listed on the study as long as a Primary Contact is listed and both email addresses are correctly listed in their profile (see below).
Everyone with access to RISe should check their profile in RISe to ensure their email address is correct. To add or correct an email address each user can edit their own profile (by clicking on their name in the top right corner), then click "apply" at the bottom of the page to save any changes.
Deadlines and Meetings Check the BCCA REB Deadlines and Meeting schedule if submitting for Full Board Review.
